What we collect
When you submit a service request on our website, we collect your business name, your contact name, your email address, your best contact number, the site address where the work is needed, the equipment type, how urgent the job is, and your description of the fault.
If you call or email us instead, we collect whatever you give us in that conversation, which is usually the same information.
When you use our website we also collect technical information automatically. That includes your IP address, browser type, the pages you visit and how long you stay. This is standard website analytics and is not used to identify you personally.
We do not collect sensitive information such as health, financial or identity documents. Please do not send us that information.
Why we collect it
We use your information to:
- Respond to your service request and talk through the fault
- Give you a timeframe and a quote
- Get a technician to your site
- Carry out the repair and follow up afterwards
- Invoice you and keep proper business records
- Meet our safety, licensing and tax obligations
We do not send marketing or promotional emails. If we contact you, it is about a job you have asked us to do.
Who we share it with
We share your information only where we need to in order to do the work or run the business. That can include:
- Our technicians and staff, so they can attend your site and complete the repair
- Parts suppliers and manufacturers, where a warranty claim or a specific part is involved
- Our accountant and bookkeeper, for invoicing and records
- Our website, email and IT providers, who host and maintain our systems
- Government bodies or regulators, where the law requires it
Where you are a site under a national account, for example a supermarket group we service under contract, we may report job details back to that head office as part of the service agreement.
We do not sell your personal information. We do not trade it, rent it or give it to anyone for marketing.
Cookies and website analytics
Our website uses cookies. Some are necessary to make the site work. Others help us understand how people use it.
We use Google Analytics to see how visitors move through the site, which pages are popular and where people arrive from. Google Analytics sets cookies such as _ga to tell one visit apart from another. We serve the analytics script from our own server, but the data still goes to Google.
Our service request form is protected by Google reCAPTCHA, which helps us block spam submissions. reCAPTCHA collects hardware and software information and sends it to Google to work out whether you are a person or a bot. Google's own terms apply to that:
You can block or delete cookies in your browser settings. Parts of the site may not work properly if you do.
Information sent overseas
Our website and its data are hosted in Australia.
Some of the services we use are run by overseas companies. Google Analytics and Google reCAPTCHA are operated by Google, which stores and processes data in the United States and other countries. By using our website you agree to this information being handled overseas.
We take reasonable steps to use reputable providers, but we cannot control how an overseas provider handles information once it is with them.
How we store and protect it
Service requests submitted through our website are stored in our website database and emailed to us. We also hold job and customer records in our business systems.
We take reasonable steps to protect your information from loss, misuse and unauthorised access. That includes password protection, restricted staff access, secure hosting and keeping our systems up to date.
No system is completely secure. If we ever become aware of a data breach that is likely to cause you serious harm, we will tell you and take the steps required of us.
How long we keep it
We keep your information for as long as we need it to do the work and meet our legal obligations. Financial and job records are generally kept for at least seven years, as required by Australian tax law.
Once we no longer need information, we take reasonable steps to destroy it or remove anything that identifies you.
Getting access to your information
You can ask us for a copy of the personal information we hold about you. You can also ask us to correct anything that is wrong or out of date.
Email service@protechindustries.com.au and tell us what you need. We will respond within a reasonable time, usually 30 days. We may need to confirm who you are first.
There is no charge for making a request. If it takes significant work to put together, we will let you know of any cost before we start. If we cannot give you access, we will explain why in writing.
Making a complaint
If you think we have mishandled your personal information, tell us first. Email service@protechindustries.com.au with the details and we will look into it and respond, usually within 30 days.
If you are not happy with how we handle it, you can take the matter to the Office of the Australian Information Commissioner:
- Website: www.oaic.gov.au
- Phone: 1300 363 992
- Post: GPO Box 5218, Sydney NSW 2001
